Working Safely in Plus2 and Choosing the Current Site
Problem
Administrators need to change Plus2 configuration without breaking live records, and need to be working on the right site, because Plus2 opens on Head Office, which has no booking sheets.
Resolution
Try the change in test first
- On the virtual desktop there are two Plus2 icons: live and test. Try configuration in test before applying it to live.
- Changes made in live don't copy to test automatically.
Find what you need
- Help (menu bar or F1) opens a searchable Plus2 manual in a separate window (e.g. search "global" for global price changes).
- Menu paths must be remembered, e.g.
Configuration > Financial > Products > Products(Operator, by contrast, lets you just search, e.g. "products"). - Use a wildcard search: type
*swimto find anything with "swim" anywhere in the description. Without the*, only descriptions starting with "swim" are found.
Copy records with Save As
- IDs are unique. A record copied with Save As (Ctrl+A) won't save until you change its ID.
Choose the current site
- When you first log in you're on Head Office, which has no booking sheets.
- Go to
Configuration > System > Sites. - Select the site, tick Current site, then save.
Stop the site reverting
- Set the user's preferred/default site on their user profile so it doesn't revert.
Allow staff to switch sites (if applicable)
- If staff must switch from Head Office to other sites, go to
Configuration > System > User groups > Access levels > Systemand untick Restrict multi-site and Multi-site configuration.
- If staff must switch from Head Office to other sites, go to
View another site's booking sheet (if applicable)
- On the booking sheet, Other sites lets you view and book another site's sheet. Closing it returns you to your current site.
Notes
- Plus2 won't delete configuration that's in use. For example, to delete an unused subscription type group, first remove it from each subscription's More details tab.
- A product that has been sold can never be deleted, so don't create throwaway products on live.
- Plus2 can't use a shared, generic Windows login. Each person who needs the Plus2 booking sheet needs their own login (and a Plus2 licence). Staff who only use 360 don't need a Plus2 licence.
- Impact on 360: entry points, booking sheets and Direct Debit rejection wizards are listed per site. If you're still on Head Office, a site's rejection wizards won't appear.
- Impact on the GMC: the GMC EFT run picks up the EFT scope from the Plus2 site account configuration (for example All Sites).
