Setting Up Price Products in Plus2
Problem
Administrators need to create the price products that tell Gladstone what to charge. One sits behind every class, activity, membership and till item, and its price rows decide who can buy it at the desk and online.
Resolution
Open products
- Go to
Configuration > Financial > Products > Products.
- Go to
Complete the product fields
Field What to enter ID Up to about 10 characters, using a readable convention (e.g. ASUB1M0002). For an activity, reuse the activity ID.Description Free text; can appear online and on 360 buttons, so write it for customers. Subscription descriptions are limited to 25 characters. Second-language field only if you use a second language. Reference / receipt info Optional. It can be extracted, but reporting normally uses the department. Product type Always Retail. Bookings resource No for price products. Standard or Density makes it a resource product. Department / cost centre Drives reporting and the finance extract. Set it for every product; see Setting Departments, Cost Centres and Tax in Plus2. Calendar Normally Standard, so it can be bought at any time. When an activity can be booked is controlled by the activity's calendar. Ticket Attach a ticket layout to print a ticket with a barcode when sold. Usage How many people one sale represents, for reporting (e.g. 4 for a family swim ticket for 2 adults and 2 children). Usually 1. Gladstone Reporting uses it to estimate participation ( activity count × usage value); check values on the Configuration dashboard.Site group Where it can be sold (All sites, or one site). See Configuring Multiple Sites in One Plus2 Database for shared vs site-specific products. Barcode Scan the item into the barcode field and save; it then scans at the 360 till too. Fill in the Prices tab
- Each row is a time band plus a price level, with a Purchase allowed tick, the price and the tax code (e.g. 0% instead of the standard 20%). A blank price usually means purchase is deliberately disabled for that level/band.
- For a membership (subscription) price product, tick only one price level. If several are ticked, Go can't decide which one to give a customer who joins online, and joining may fail with "Unable to add member".
- Variable price lets staff change the price at the till. Otherwise the price is fixed (discount buttons aside).
- Apply to all copies one price to every row. With separate peak and off-peak prices, don't use it, as it overwrites both.
- Click the price level column heading to sort the rows and find the standard lines quickly.
- Price level overrides give members a different price; see Price Level Override (PLO). Subscription price products normally have none.
Restrict who can buy it (if applicable)
- Restrictions: only holders of a listed subscription can buy the product (e.g. a gym induction subscription before gym sessions). This works in Plus2 and 360.
- Restrictions may not yet be enforced on Go. Check with Gladstone Support whether they are for your set-up, and test before go-live.
Save
- Click Save.
Change prices later (if applicable)
- To change a price now or from a future date, or to change many products at once, see Changing Prices for Products and Subscriptions in Plus2.
Notes
- Impact on Go Join: Go Join takes the price and price level from the subscription's price product.
- Impact on Go Book: Go Book only offers a class or activity at a price level that is ticked on its price product, so non-member price levels must be ticked for pay-as-you-go customers to book online. Remove subscription restrictions from products that pay-as-you-go customers should be able to book (e.g. inductions) if you want them bookable online.
- Impact on 360: the 360 till and booking screens use the same price rows. Renaming a product in Plus2 relabels its 360 product button.
- Impact on the GMC: the price level ticked on a membership price product must match the Sub Type price level in the GMC.
