Setting Departments, Cost Centres and Tax in Plus2
Problem
Finance and administrators need every product mapped to the right department, cost centre and tax code, so the finance extract, Gladstone Reporting, till readings and invoices are accurate.
Resolution
Get the departments and cost centres from finance
- Finance supplies the departments and cost centres. Every product maps to a department, which maps to a cost centre.
Set the department on every product
- Set the Department / cost centre on every product, including ones you no longer sell.
- Give reporting-only products (e.g. access products) their own department so they don't distort income reports.
Find and fix products on catch-all departments
- Products on a catch-all department (e.g. "Miscellaneous") distort the finance extract.
- Use a Gladstone Reporting sales-by-department report to find them, then fix them in Plus2.
Set the tax code on each price row
- Set the tax code on each price row. Use Global price / tax change for bulk changes.
Notes
- Financial extracts are built per customer and reflect Plus2 data. If you need a field that isn't in your extract (e.g. VAT), contact Gladstone Support.
- Impact on 360: X/Z readings show department, cost-centre and tax analysis from these settings.
- Impact on the Invoicing Module and block bookings: invoice lines use the product's department and tax. Don't assume an account is tax-exempt; only override tax where an approved exemption applies.
