Price Level Override (PLO)
Problem
You want members holding a subscription (membership) to get a discounted or free price on products automatically, by pointing those products at a different price level with Price Level Override.
Resolution
Create the override price levels (if not done)
- PLO points a product at an override (inclusive) price level, for example
2 PLO Inclusive, which is never assigned to anyone. Create the levels you're likely to need at build time (for example Inclusive, Staff, Blue light, spare Discount 1/2). See Planning and Creating Price Levels in Plus2. - Discounts for students, corporate groups, staff and similar come from the membership via PLO, not from separate customer price levels.
- PLO points a product at an override (inclusive) price level, for example
Open the product in Plus2
- Go to
Configuration > Financial > Products > Productsand open the product (for example an activity or class that some members get free or discounted).
- Go to
Set prices on the Prices tab
- Tick Purchase allowed for the override price levels that should buy it (for example inclusive standard/off-peak).
- Set the price for the entitled price level (for example £0 for included activities).
- Tick and price the non-member price levels (for example adult and concession, peak and off-peak).
- Tick the members' own price levels too, with the normal price. The override only works if the member's price level can buy the product.
- Leave levels unticked for groups that cannot purchase it (for example juniors who must be booked by an adult).
Check the tax code
- Check the Tax/VAT code is correct for each price level (use Apply to all to update every row).
Add the overrides
- Open the Price Level Override tab > Add, select each subscription that gives the discount, and point it at the override price level.
- Subscriptions must be added one at a time (no multi-select).
- This does not copy subscriptions; it only directs the product to look at a different price level for holders of that subscription.
Save
- Click Save. The system applies the discount from then on.
Copy and repeat for similar products
- Overrides take the longest part of product set-up; once one product is done, copy it to create similar products so the overrides come with it.
- Repeat for every product that carries a member discount (classes, studio, climbing, etc.).
Notes
- Existing subscriptions keep their current price-level structure; PLO is added only to new subscriptions, so existing configuration is not affected.
- Subscription price products normally have no overrides.
- The discount applies only while the member's subscription is in date and paid. Once it lapses or is unpaid (for example a failed RCP or Direct Debit), the normal price applies again.
- PLO applies both at front of house and to online bookings on Go. On Go Book a logged-out customer sees the web-bookable prices; members log in to get their override price.
- Price levels used only as PLO targets don't need a member-type button on Go Join (see Setting Up Go Join Tag Groups and Mapping Memberships).
- A reservation with only a resource product (no price product, because it was free) can't use PLO on Go. Add a price product, even at £0 (see Setting Up Classes and Reservations in Plus2).
- In Operator, leave a price level's Web bookable flag unticked if members get free or cheaper bookings through that price level, so logged-out customers can't pick it (see Making a Price Level Visible in GoBook). This isn't needed where the discount comes from PLO, because the override only applies to logged-in holders of the subscription.
- Customers can cancel online only bookings they haven't paid for, for example sessions that were free through PLO.
- Go can't restrict a bolt-on so it's only bought alongside another membership, even when the bolt-on is priced via PLO; sell bolt-ons at the desk (see Gladstone Go – Joining Online, Pay-as-You-Go and Eligibility Checks).
- A subscription can give holders a course or class at £0 through PLO, for example a programme paid by RCP; if the RCP fails and the subscription stops being paid, the override stops applying (see Using RCP Subscriptions for Courses).
- When new price levels are added, every product needs the new levels ticked. Resource products normally need all levels ticked (at £0). Bulk ticking and tax-code changes can be requested from the Gladstone data team via a support query rather than done manually; give them a list of products with overrides, which must be done by hand.
- You can populate PLO in advance and only rely on it once the new configuration goes live.
- Member still being charged (for example juniors on an inclusive DD paying for gym sessions): the member's own price level isn't ticked on the price product. Tick it with the non-member price (for example junior £7) and keep the subscription in the PLO tab pointing to inclusive.
- A discount on one activity only (for example badminton) needs its own override price level (for example Badminton discount), unless the inclusive level is used just for the subscriptions that should get it.
- To stop a price level booking a product at all (for example juniors in group exercise), untick that price level on the product.
