Exporting Invoices from Plus2

Problem

Users need to generate invoices in Plus2 for a member's invoicing account and export them as PDF files to their local PC via Remote Desktop.

Resolution

  1. Open the member's invoicing account

    • Go to the Member section in Plus2.
    • Search for the relevant member (you can search by surname or first name).
    • All valid member records will appear in blue. Double-click on the correct member.
    • Select Account, then Display Options, then Invoicing Account.
  2. Start the invoice run

    • Click the Invoice/Statement run icon.
  3. Set the Sale Cut-off Date and Invoice Payment period

One-off eventThe date of the eventLong enough to ensure payment is before the event

    • For example, if you are raising an invoice on 1 December and want it to run to the end of February, set the Sale Cut-off Date and Invoice Payment period to match.
  4. Run the invoice live

    • Tick Live Run and click OK.
    • When prompted by the message, click Yes.
    • A view will appear: cancel it. It shows again: cancel a second time. When it shows a third time, click Okay.
    • The invoice will now display. Make a note of the invoice number for your records.
  5. Open the invoice as a PDF

    • Select the download button to the left of the screen.
    • Change the default destination from Disk file to Application.
    • Click OK to the next message that appears (and to any further messages).
    • Your invoice will now appear as a PDF.
  6. Print it to your local drive

    • Click the Print option (this is used to save the invoice).
    • In the print dialog, change the Printer to Microsoft Print to PDF (redirected), so it can be saved to your local drive.
    • Click Print.
  7. Save and file the invoice

    • Go to your Documents folder on your local drive.
    • Locate the PDF file and rename it as required.
    • Move the file to your chosen invoices folder.
