Direct Debit Set-Up in Plus2
Problem
The monthly Direct Debit collection run is done in the GMC EFT module, but what it collects is decided by Plus2 settings. Administrators need to set these up, process rejections and end DD memberships cleanly.
Resolution
Making sure the right memberships are collected
Check what puts a membership into a collection run
- All of these must be true:
- The subscription's Payment method = Direct Debit.
- Automatically renew is ticked.
- The member has bank details with a valid (lodged) instruction.
- Any unpaid sale with payment method DD is also collected, including old debt.
- All of these must be true:
Check the two payment-method fields on a record
Field Where in Plus2 Controls Payment method of the subscription Membership (gold subscription bar) > open the subscription Whether future periods go into DD runs (with auto renew). Rejection processing doesn't change it Payment method of the debt / sale line Account page (green person icon) > sale line > double-click, or … Whether that unpaid amount is collected by DD or payable by other means DD debt Cash debt Visible in Plus2 only Plus2, 360 and the customer's Go account (red debt banner) Payable at the desk / online No Yes Collected by the next DD run Yes No Blocks online booking and triggers the entry-point unpaid sales rule No Yes
Set-up tasks
Give users permission to run the GMC EFT run
- Go to
System > Configuration > User Groups, double-click the group, then Access Levels > EFT > tick Run > Save. - The user then logs in to the GMC with their Plus2 user ID and password.
- Go to
Configure rejection wizards
- Configure them per reason in
Configuration > Membership > Wizards(e.g. change status, raise a debt, add a note and reception message). - Set the correct current site before processing rejections.
- Configure them per reason in
Process the ARUDD file
- Save it to Gladstone Drive > Data > EFT Rejections, then run the rejection processing wizards in Plus2.
- Confirm the file has moved to the completed folder.
Create a late / admin fee product (if applicable)
- Create a product and put it on the till so it's added as a separate debt.
Ending or neutralising a DD membership
Stop future collections
- Open the membership in Plus2.
- Untick Automatically renew.
- Change the subscription payment method from Direct Debit to Cash.
Review every debt line
- Change debt that must stay payable to Cash; Void debt that won't be recovered.
Set the end date and status
- Set the correct end date (end dates take effect at midnight).
- Schedule the status change for the day after the paid period ends.
Remove bank details (if applicable)
- Delete bank details if any future membership must start with a new instruction.
Confirm
- Confirm nothing can enter a later run.
Notes
- DD enquiry and other DD statuses: see Setting Up Member Statuses in Plus2.
- DDs collected by an external bureau can't be sold on Go, and their bank details can't be entered in 360. The workaround is a pre-DD payment method with bank details added in Plus2 afterwards; many sites sell RCP online instead.
- Other Plus2-only tasks: removing or writing off debt, correcting bank/account details that can't be edited in 360, complimentary extra time (extending end dates), and deleting bank details after a desk cancellation in 360 (cancelling in 360 doesn't delete them).
- Impact on the GMC: the EFT run (test run, Roll Subscription Forward, Produce Live Run EFT File) creates renewal sales and pays off unpaid EFT sales in Plus2. The EFT module is covered in Running Direct Debit EFT and AUDDIS Runs in the GMC EFT Module.
- Impact on 360: cash debts show in 360 (Debts & alerts) and can be paid, but 360 can't remove or write off debt. Status and reception messages from wizards can stop a member at an entry point.
- Impact on Go: cash debt shows as a red banner and blocks online booking until paid. Go sends the DD mandate using the SUN and company details set in Operator; see Direct Debit Mandate Details and Bank Validation in Go Operator.
