Sending emails for reverifying Recurring Card Payment (RCP) memberships

Following advice from global partners for payment processing, we have introduced a one-off reverification of all RCP memberships.

Introduction

We expect our Payment services to meet the highest of compliant standards and consequently we frequently review how we can ensure the best payment pracitices for our customers and their consumers. Following recent advice from our payment partners, we have introduced a one-time reverification process for all recurring card payment (RCP) memberships.

This reverification takes place in the members online account and they will be notified of such a request when they access their account. To ensure maximum success of this reverfification process, we stronly recommend notifying these members via email as well. This will provide further context to the request and ensure all members are aware of the request when they are notified in their account.

This document explains how to send these email communications.

Customers on Single Database

  1. For those customers on Single Database an email template should have already been created for you. This can be accessed from Operator > Automation Portal > Email Templates > Verify Rcp Card Notification, and selecting Manage.

    We strongly recommend that you add at your business logo to the header of the email and social media links to the footer of the email to improve its authenticity.




  2. Once a suitable template is in place, it is a straight forward process of setting up a communication job.
    1. From the Operator Homepage, go to Automation Portal > Communication Jobs and select th "+" in the top right corner to create a new Communication Job.



    2. Provide a title for the Communication Job and select the Job Type "Verify RCP Card Notification" before selecting Next.

      Note: We've taken all the hassle out of defining the audience to send to and the worry that some non-RCP members may be included, by building a job type that will only ever send to members of active RCP memberships. 



    3. Set the Communication Job as One-off and Email



    4. Select the template discuss in Step 1.



    5. Finally, set your preferred date and time when you want the email to go out.

    6. When you select Save & Add New Job, this will then add it to the Communication Jobs Dashboard.

 

Customers on Multi-Database

  1. For those customers using Multi-Database an email template should have already been created for you. This can be accessed from GMC > Configuration Manager > Configuration , selecting Recurring Card Payments Service from the Products dropdown and then the Emails tab.




    Here you will find an email template calls RCPSubsWithUnverifiedCards. We strongly recommend that you add at your business logo to the header of the email and social media links to the footer of the email to improve its authenticity.

  2. Once a suitable template is in place, it is a straight forward process of turning on the one-time emailer.
    1. From the Configuration tab of the Recurring Card Payments Service select Email Settings. 



    2. For the option titled Email template for RCP cards requiring verification, select the template configured in step 1 (e.g. RCPSubsWithUnverifiedCards).

    3. For the option titled Enable emails for RCP cards requiring verfification, select the tick box to activate.



Note: The emails will only be sent once Step 2c has been completed. These emails will only go out once and to those members with an active RCP membership.
