Scheme Portal allows you to subscribe to a National Framework Scheme or alternatively create and manage your own Schemes, which contain the Levels, Skills and Grades you will use for your relevant courses.
Introduction to Scheme Portal video:
Scheme Portal overview
Accessible via https://yourorganisation.schemeportal.co.uk or through 'GoLearn - Settings - Courses', the 'Schemes and Levels' section provides you with a dedicated platform, known as the Scheme Portal, where you can effectively manage your levels, skills, and grades.
Within Scheme Portal, you have the ability to view and edit your existing schemes. You can also create brand new schemes, copy from an existing scheme, or even subscribe to one of the National Framework Schemes.
Each scheme is displayed in a 'tree' format. You can modify the structure of a scheme with ease, by interacting with the 'tree' to rearrange levels and skills using a simple drag-and-drop functionality. Additionally, you have the flexibility to add new levels and skills/competencies as needed. Individual components, such as the wording of skills/competencies, can also be adjusted, along with the descriptions that will be displayed online for each relevant level.
Subscribing to National Framework Schemes
If you are configuring your schemes for the first time, we'd recommend subscribing to one of the National Framewok Schemes, instead of creating your own scheme. The main benefit of subcribing to a National Framework Scheme is that any changes these schemes by the National Governing Body will automatically be updated and reflected for your courses.
Users with the relevant permissions (covered at the end of this guide) will be able to subscribe to an unpaid scheme. For paid schemes, access must be requested in order to subsribe.
Subcribing to a scheme will enable it to be viewed and, more importantly, assigned to courses in GoLearn. In order to unsubscribe from a scheme, you must submit a request. This is to prevent a user accidentally unsubscribing from an active scheme, which would cause issues with your courses.
You can then assign the scheme you've subscribed to, to your course in GoLearn, and choose which levels you want to use for your course type. This will make that scheme and it's relevant levels available for you to select when you create your classes.
Creating a brand new Scheme
To create a new Scheme, click '+ Add scheme'.
Input the name of your Scheme and click Save. In the example below, this is 'Swim Lessons'.
You will now be able to see your new Scheme, and when you click on the name it will show the below.
Create your grading system
You will first need to create the grades you want to use in your scheme, using 'Edit grades'. You will be able to choose from 'Standard grades - 2' up to 'Standard grades - 12' which you can edit. For example, 'Standard grades - 4' can be chosen if you intend to use 4 grades for your scheme such as 'Needs practice', 'Fair', 'Good' and 'Pass'.
Once you select the grading you want to use, click on the down arrow on the far right, to open up the gradings for you to edit.
Click on each number to edit the wording (as shown below) and return back to the Scheme using the left arrow.
Create your Levels
To create any levels and skills, you need to click the 'Edit Tree' button. You will then have an option to create your levels using the '+Add level' button.
Click the add level button and input the Level Group name (example below for 'Junior Swim Stages 1-7'). The description you apply will pull through to your online joining page. Click 'Save' and continue adding any other level groups you want for your Scheme.
Once you have created your level groups, select 'Add level', beside the group you've created. This will let you create the levels that belong to this group. For example, Junior Swim Stages 1-7 will need Stage 1 through to Stage 7 added.
Tip: We encourage you to use the 'Save' button on the scheme page as you go along, so that you don't lose progress when adding your levels and skills.
Create your skills / competencies
Once you've created your levels, you can add your skills/competencies unerneath each level. Ensure you click on 'Edit tree' which will show you more options beside the levels you've created. You can add skills for each level using the 'Add skill' buttons.
When you click '+ Add skill', the below screen will pop up. You can enter the skill name and assign the relevant grading you want to use for the skill. Click 'Save'.
To see the skill that you've added for your level, simply expand the level using the arrow next to your level. You can continue to add the rest of the skills/competencies for each of your levels in the same way.
The next step is to assign how many/which skills need to be completed, for the attendee to pass the relevant level. To do this, click on the stage name and use the 'Edit' button.
Click to expand the top box 'Node is never complete' and you can choose to allocate the individual skills to your level using the 'Add a skill or level' button, or you can use the 'Require all children' button to add and select all the skills automatically.
Once you assign the relevant skills to your level, you can specify how many of the skills are needed for an attendee to pass/complete the level. By default, if you add all the skills using the 'Require all children' button, then the level will be complete when all the skills are complete. Alternatively you can change the number of skills that need to be completed in order to pass the level by adjusting the number showing in the 'Needed' box.
Note: The terms 'Node' and 'Children' in this section refer to 'Level' and 'Skills'. For example, in the above screenshot, "Node is complete when all of its 13 children are complete" simply means that "Stage 1 is complete when all of its 13 skills are complete.
Assign / change colour for a level
Assigning/changing colours for a Level is done within GoLearn - Settings - Courses - Schemes and Levels. To assign/change the colour of a specific Level, simply select 'Levels' from the relevant Scheme.
Next, select 'Edit' for the Level you want to assign/change the colour of, select the colour you want to assign and 'Save Level'.
Setting up a Course and Classes
Courses
Once you have created or subscribed to a Scheme, you can assign it to your relevant Courses in GoLearn by going to 'Settings > Courses > Courses' and using the 'Edit' option alongside the relevant course.
Within this section, you can choose the Scheme you would like to use for your course. In addition, you will need to choose which Levels you want to select to be available for your course. This will dictate which Levels you can assign when you create your Classes.
Classes
When setting up a class, you will need to select the relevant Course the class belongs to. In the 'Assessment' section you'll need to select the relevant Level for your class.
