Getting Started With School Swimming
- How do I activate the School Swimming Module?
To activate click here and your Account Manager will send your personalised quote across. You also have access in your Go Learn test environment. If you’re unsure how to get into this, please log a ticket with our Support team. - Is there a setup guide for configuring schools and lessons?
Yes, all the setup guides are available in our Resource Hub. - Is training provided to sites and schools?
No training is required. The system has been designed for ease of use. Self-help guides are available in the Resource Hub.
Managing Schools & Bookings
- Can schools book their sessions?
Not currently. Operators manage the session bookings, but future functionality may support school self-booking. - Can multiple schools use the same slot?
One school per slot is supported. To run multiple schools simultaneously, you should create separate slots. You can run multiple School Slots at the same time, like you can for regular swimming lessons - Can I pre-cancel sessions in advance?
Yes, sessions can be pre-cancelled during class setup to reflect school closures or known absences. They can also be cancelled subsequently throughout the period of booking by editing the relevant slot that the school have been booked into. - Can I book for an entire year at once?
Yes, bookings can be done for whatever duration you wish – either for the entire year (ensuring you cancel the relevant dates out of term) or per term if you wish to operate in this way.
Pupil Data & Access
- Who uploads pupil data – us or the school?
Either can. Schools have the option to upload via CSV or manually, or centres can do this on their behalf. If you or the school wish to upload a CSV file, the relevant CSV template can be downloaded and edited to include the pupil's information and uploaded. - Can schools manage their pupil records?
Yes. They can add, edit, group, and assign pupils to each class/slot within the Activity Portal. - Are pupil details shared with our main database?
No. School swimming pupil data is held separately in the Activity Portal. - Can we upload medical conditions or notes?
Yes. Medical notes can be uploaded and will show on the teacher portal as alerts. - Can pupil data fields be customised?
Not currently. The data headings are fixed, but additional fields can be reviewed in future development. Any requests for this should come through to us as a feature enhancement request.
Teacher Portal & Lesson Delivery
- How does the teacher portal handle school lessons?
School classes appear just like regular ones (will be identifiable as they will say Slot:{Schools Name}), using the same Coach Portal teachers use for regular classes. No switching required. - Can teachers move pupils between ability groups?
Yes. Teachers can reassign pupils to different ability groups at any time via the portal. - Can we assign specific teachers to specific ability levels?
Yes. When setting up a class, you can define which teacher is responsible for each stage. - Can multiple teachers be assigned to one class?
Yes. This allows for team-based delivery and group-level assessments.
Progress Tracking & Reporting
- Is pupil progress retained term-to-term?
Yes. Pupil records persist, even if there's a gap between terms. - Can schools view their own pupil reports?
Yes. Schools can view and report on their pupils’ progress live via the Activity Portal. - Are certificates available for schools to print?
Not yet, but digital certificates are under development. - Can we report on National Curriculum outcomes?
Yes. Assessment criteria align with national standards, and reporting dashboards are improving. - Is live progress data available?
Yes. Assessment updates made in real-time by teachers are reflected immediately in reporting.
Schemes & Awards
- Are Swim England and STA awards included?
Yes. Fitronics is working with both organisations to include and update their school swimming award schemes. - Can we add our own scheme like the national curriculum?
Yes. Custom schemes can be uploaded and used.
Licensing, Access & Support
- Is there a limit to how many schools we can have per site?
No. The licence is per site, but there's no limit to the number of schools you can manage under that site. - Can schools have different levels of access?
Currently, only admin access is available, but read-only roles are being developed. - Can user passwords be reset?
Yes. Admins can reset passwords for schools from the Activity Portal. School users will also be able to reset their passwords. - Is invoicing handled within Go Learn?
Not currently. This is being reviewed as a future enhancement.
Feedback & Future Development
- Can schools have access to book and pay directly in the future?
Possibly. We are reviewing this based on customer demand. - Can progress be matched across school and learn-to-swim schemes?
No. School swimming and learn-to-swim are currently treated as separate data sets.
