GoLearn - School Swimming Configuration Guide
The GoLearn School Swimming feature allows you to manage schools/organisations that use your facilities for swimming lessons. This provides you with a platform to manage your school swimming delivery in GoLearn, reducing the admin time required to manage this. School Swimming allows you to manage the schools and pupils information, ensures real-time pupil tracking and uses familiar assessment tools, making the progress tracking smooth and reliable and provide access for schools for self-service to manage their own pupils data if you wish to do so.
1. Set up an Activity Course
- Navigate to Settings - Courses
- Select Add Course
- Enter Course Name (e.g. School Swimming)
- Select the relevant Course Group
- Select the relevant Scheme you would like to use
- Select Activity as the Assessment Type
- Scroll down and select the centre the course should be available at, click the arrow to move the centre to the right hand side
- Scroll to the bottom where you will see the levels in this Scheme and select the Levels that you need for this course
2. Set up Organisations
- Navigate to Activities
- Select Activities - Add Organisation
- Set up the Organisation
- Complete the relevant fields as needed:
- Type in the Organisation name. If it's a school, type in the School Name
- Choose the location (Home Centre) where they will be attending
- Add address(es) who will receive emails about bookings, cancellations and any changes to their booking
- Add any other additional information if needed (optional)
- Select Save
3. Set up the Activity Slots
- Navigate to Settings - Courses - Activities
- Select Add Activity Slot
- Type in the name of the Slot. Something easy to understand such as 'School Swimming'.
- Select the correct Centre, Course and Bookable Area
- Optionally, you may limit the capacity of the session by ticking Enforce Capacity and setting a limit
- Input in the week commencing start date. Typically the Monday of the week you begin lessons (even if the lessons are not running on Monday)
- Input in the end date of the final week. Typically the Sunday of the week you are finishing lessons (even if the lessons are not running on Sunday)
- Input Start Time and End Time
- Choose if sessions will be running weekly or daily
- Choose the weekday the session will be running
- Review the sessions listed below and if necessary you can adjust the timing or mark a date as cancelled
- Select the relevant Teachers that will be assigned to this Slot. This can be one or more Teachers.
- Select the levels the Teachers will assess the members on. If there's multiple Teachers assigned, you may have one Teacher assessing a particular level and the other Teacher assessing another level
- Save the Slot at the top of the page
- The Slot you create should then be visible and you should be able to Edit or Delete if necessary
4. Booking an organisation into an Activity Slot
You will next need to book the relevant school onto the Activity Slot created.
- Navigate to Activites and find the relevant school (organisation) you want to book and click on More
- Select Book. A list of all Slots will appear to select from
- Select Book on the relevant Slot you would like to book the school into
- A list of all dates available will display. You can select all or specific dates if you wish, and select Continue to complete the booking
Once the booking is completed, you can head over to the Activity Portal where you can manage the pupils for the relevant school (organisation). This is covered in our Activity Portal guide.
