Set up and automate the sending of notifications to consumers who have been added to booking alert lists when a space becomes available.
Introduction
With the Alert List option enabled, when a space becomes available in a specific class, a notification is sent to all consumers on the alert list. There are variable configurations available to maximise the success of these communications and ensure that fully attended classes don't suffer from last minute drop-off.
Please note: Alert list and Waiting list are interchangeable terms and configuration sometimes uses Waiting list. We are currently working to make this wording consistent.
Configuration of Alert List Modules
To find the variable configurations associated to Alert Lists, go to Configuration > Modules > Configure and search for Waiting List. This will return all configuration options within the Waiting List Group.
- Cut Off Period in Minutes - This is the number of minutes prior to the scheduled activity start time when the alert list emails are no longer sent.
- Deeplink base URL - This is the base URL for a deep link within the email. This deep link provides a call to action for the consumer to directly access the alert list in question.
- Excluded Price Levels - Specific price levels can be excluded from the alert list emails.
- Excluded Statuses - Specific statuses can be excluded from the alert list emails.
- Search Duration in Hours - The number of hours of the time frame for searching available bookings.
- Sites To Search For - The sites that will be included in the search for an available booking.
Personalisation of the Email Template
Once you have decided on the rules around your alert list emails, you can now personalise the emails that are sent to your members.
In Operator, go to Configuration > Automation > Communication > Email Templates. From here you can either edit existing emails or create a new one.
When editing or creating a new email template, the Gladstone Email Manager makes it easy to add new content and branding. Just remember to use the placeholders such as [[First Name]] to make it personal and include the [[Fill space from waiting list link]] in the Button URL.
