Usage Memberships

Problem

You need to set up and manage usage memberships (usage subscriptions) that allow members to book a limited number of sessions over a specified period (for example, a 10-pack of yoga classes). This includes configuring the membership, relevant products and activities, and helping your members understand how to use and track their usage.

Resolution

1. Set Up a Usage Membership

There are three main steps: create a product, create a membership, and configure the membership tags. The first two are done in Plus2, the previous-generation management system; the third is done in GO Operator, the staff-facing web application.

a. Create a Product

  1. Open Plus2.
  2. Go to Configuration > Financial > Products.
  3. Create a new product and fill in the details as usual.
    • Alternatively, select an existing product and use Save As to copy and modify it for your needs.
  4. Set the Usage value to 1 (or to the number of usages that should be deducted per session booking).
  5. Save your changes.

b. Create a Membership

  1. In Plus2, go to Configuration > Subscriptions > Subscription Types.
  2. Create a new subscription and fill in the required details.
    • Or, select an existing subscription and use Save As to copy it.
  3. Under the Creation / Renewal tab:
    • Set the duration (e.g., annual, 1 week, 6 months).
    • Set the Max. Usage to the allowed number of sessions for this membership.
  4. In the Product List tab, add the usage product you created earlier.
  5. Save your changes.

c. Configure the Membership Tags

  1. Open Operator.
  2. Go to Configuration > Memberships > Membership Types and select the membership you set up above.
  3. Set the appropriate tags in all necessary categories.
    • You may need to create a new tag specifically for usage memberships or passes.
  4. Save your changes.

2. Set Up a Usage Activity

  1. In Plus2, go to Configuration > Bookings > Activities or Reservations.
  2. Select an existing activity or create a new one. Fill in the details as usual.
  3. On the Subscriptions tab, add the usage subscription created earlier.
  4. Save your changes.

3. Member Experience
