Understanding the Configuration Dashboard in Gladstone Reporting
Problem
You want to understand what information is available within the Gladstone Reporting Configuration Dashboard and how it can be used to review the configuration supporting your reporting data.
Resolution
What does the Configuration Dashboard show?
The Configuration Dashboard provides reporting on key Gladstone configuration including Products, Departments, Cost Centres, Price Levels, Time Bands, Product Usage values and Product pricing.
The Dashboard contains reports covering areas such as:
- Products in use;
- Departments in use;
- Cost Centres in use;
- Price Levels;
- Time Bands;
- Product Usage configuration;
- Product Price configuration.
The Dashboard can be used to review how Products and their associated reporting configuration are represented within Gladstone Reporting.
Where supported, select a Widget to access its Drill Down for additional detail.
What does "in use" mean on the Configuration Dashboard?
For Products, Departments and Cost Centres, "in use" identifies configuration associated with recorded transaction activity.
This is different from simply providing a list of every item that may have been configured within the Gladstone system.
For example, a configured Product that has not recorded qualifying transaction activity may not be represented within a report specifically designed to show Products in use.
Price Levels and Time Bands are reported from their respective configuration and should not be assumed to use the same transaction-based definition of "in use".
Which Configuration reports are available?
The Configuration Dashboard includes reports such as:
- Products in Use — shows the number of Products associated with recorded transaction activity.
- Product List — lists Products associated with recorded transaction activity.
- Departments in Use — shows the number of Departments associated with recorded transaction activity.
- Department List — lists Departments associated with recorded transaction activity.
- Cost Centres in Use — shows the number of Cost Centres associated with recorded transaction activity.
- Cost Centre List — lists Cost Centres associated with recorded transaction activity.
- Price Levels in Use — shows Price Levels represented within the available configuration.
- Price Level List — lists the available Price Levels.
- Time Bands in Use — shows Time Bands represented within the available configuration.
- Time Band List — lists the available Time Bands.
- Product Usage Configuration — shows the Usage value configured against Products.
- Product Price Configuration — provides Product pricing information by Price Level and Time Band.
The reporting content and filters available vary according to the individual Widget.
How can I review Product Usage configuration?
Use Product Usage Configuration to review the Usage values associated with Products.
Usage values can be used within Gladstone Reporting to represent participation where a Product or Activity may account for more than one participant.
For example, a Product representing 5-a-Side Football could have a configured Usage value representing the expected number of participants.
Reviewing Product Usage configuration can therefore help explain the Usage values represented within reports such as the Attendance Dashboard.
How can I review Product pricing?
Use Product Price Configuration to review Product pricing by Price Level and Time Band.
This provides a convenient reporting view of Product pricing without requiring each Product to be reviewed individually within the operational configuration.
Use the available filters to focus the report on relevant Products, Departments or Cost Centres.
Where supported, the report can also be exported for further review outside Gladstone Reporting.
How can I use the Configuration Dashboard to review financial configuration?
Products, Departments and Cost Centres provide important classifications for financial reporting.
Use the Configuration Dashboard to review how Products are associated with the relevant configuration and to help investigate unexpected reporting classifications.
For example, where a transaction appears under an unexpected Department or Cost Centre in another Gladstone Reporting Dashboard, the Configuration Dashboard can help provide context about the Product configuration represented within reporting.
What additional information is available in Configuration reports?
Configuration reports provide more detailed information about the configuration represented by the Dashboard Widgets.
Depending on the report selected, available information can include:
- Product / Product ID;
- Department / Department ID;
- Cost Centre / Cost Centre ID;
- Price Level ID;
- Time Band ID;
- Product Usage value;
- Product pricing.
The information available depends on the individual Widget and report selected.
Notes
- Products, Departments and Cost Centres described as "in use" are associated with recorded transaction activity and should not automatically be interpreted as every item configured within the Gladstone system.
- Price Levels and Time Bands are represented from their respective configuration and may behave differently from transaction-based Product, Department and Cost Centre reporting.
- Product Usage values can affect Usage reporting elsewhere within Gladstone Reporting.
- Product pricing can vary according to Price Level and Time Band.
- Dashboard and Drill Down results can be affected by active filters.
- Available reporting content may vary according to customer configuration and user permissions.
