# Setting Up Go Join Tag Groups and Mapping Memberships

HTML version: [Setting Up Go Join Tag Groups and Mapping Memberships](https://support.gladstonesoftware.cloud/gooperator/gladstone-go-join-tag-groups-buttons-and-membership-mapping)

## Problem
You need to set up the buttons customers click through on Go Join (tag groups) and map each membership to a unique pathway, so every membership appears under the right choices and points to the right Plus2 subscription.

## Resolution

The buttons on Go Join are **tags**, organised into **tag groups**. Each membership type is mapped to one tag from each group. That combination is its **pathway**, and each pathway points to exactly **one Plus2 subscription**.

### Creating tags

1. **Find the tag groups in Operator**
   - Log in to Operator with your Plus2 username and password. If it is slow to load, press F5.
   - Open **Configuration** (cog), then search "tags" to find **Tag Groups**. Groups prefixed *Member/Membership* are for Go Join; the others are for Go Book, and can be used in deep links to activities. Create only the membership tag groups your pathways actually need.

   | Tag group | What it represents | Examples |
   |---|---|---|
   | **Member types** | Who the membership is for. It does not have to match Plus2 price levels (for example, a "Student" button can map to an adult price level). Keep these few | Adult, Student, Youth, Senior |
   | **Durations** | Length and payment type | 18 months, 24 months, Direct Debit rolling, DD fixed contract, Annual |
   | **Facilities** | What is included. The benefit lines on a membership card come from this group, and only this group supports **hyperlinks** in descriptions (for example, booking rules, app) | Gym and Swim, Classes, All inclusive |
   | **Sites** | Site. Can be left empty for single-site operators | |
   | **Times** | Peak / off-peak. Display only: actual access times come from the Plus2 calendars. Can be left unused if all memberships are peak/anytime; for an off-peak-only membership (for example, over-60s) select *Off peak*. Because it is optional, it can be repurposed for another choice (for example, with or without car parking) | |
   | **Membership (types)** | Individual / Group Memberships. These two exist by default; group memberships must use **Group Memberships** | Individual |

2. **Add a tag (button)**
   - In the tag group click **Add**.
   - **Name**: what customers see.
   - **Description**: up to about 250 characters. Paste existing website descriptions here.
   - **ID**: no spaces or special characters. Capitals with a number suffix are recommended, so similar tags can be added later without clashing (for example, `SENIOR01`, `GYMSWIM01`). **The ID cannot be changed later** (names and descriptions can), and IDs are used in deep links.
   - IDs must be unique across **all** tag groups (as in Plus2). For example, a "Junior" member type and a "Junior" facility need different IDs (`JUN001`, `JUN002`).

3. **Confirm and save**
   - Click **Confirm**, then **Save**. Save each tag before editing the next: editing several at once can copy one description onto others, and Operator lets you navigate away without saving.
   - To edit later, click the pencil, change the name or description, click away, **Confirm**, then **Save** at the top.
   - Drag tags within a group to change the order the buttons appear in.

4. **Move less common tags to the secondary area (optional)**
   - Every tag group (member types, durations, facilities) has a secondary area. Drag a tag into it to hide it behind an extra click: for example, concessions under a qualifier option, less common durations under *Other durations*, and secondary facilities. This keeps the first screen simple.
   - When secondary member types are used, a banner such as *Do you qualify for a concession?* appears under every member type, and its wording appears to be fixed.
   - For a membership that needs proof (for example, corporate), you can keep it as a normal tag with the eligibility rule in its description, or send eligible customers a [deep link](creating-deep-links-for-membership-purchase-in-gladstonego.md) instead.

### Planning which memberships go online

5. **Fill in the planning spreadsheet**
   - Decide for each product whether it is sold online, sold online with staff help (for example, a tablet at reception), or only by staff in 360. Gladstone provides a planning spreadsheet for this, with one row per membership and columns for site, join online (yes/no), price level, duration/payment type, facility, sites, times and membership type (always *Individual*).
   - A formula highlights rows (in pink) whose pathway matches another membership. Fix it by giving one a different facility or duration (for example, *Annual* instead of *Direct Debit*); the highlight clears when the pathway is unique.
   - Start the buttons from what the database already has (price levels, durations, facilities, sites), then rename them later in Operator if needed (for example, "Adult" to "Individual").
   - **Member types**: check which price levels are actually held by members. Price levels used only for price level overrides or bookings do not need a button. Add a member type for any group with its **own price level** that would otherwise clash with adults (for example, a 16–17 membership). Also consider corporate, blue light and senior variants.
   - **Durations**: for example, Direct Debit and Annual only, if there are no 3/6-month or usage-based memberships.
   - **Facilities**: what each membership includes (for example, All inclusive, Gym only, discount card). Expect to add more once mapping shows conflicts.
   - **Sites**: memberships do not have to map to a site tag. If most memberships are all-site, one site tag plus an all-site tag may be enough.
   - Pay-at-till tickets (for example, guest passes) are not memberships and can stay off Go.

6. **Prepare the subscriptions in Plus2**
   - Every pathway needs its own Plus2 subscription with **Purchase via web** ticked and the site ticked on the **Web** tab, and its own price product with **only one** price level ticked on the right calendar. The joining or admin fee product must have the same price level ticked.
   - Sites that sold one subscription to several price levels (setting the price level in a wizard) must create extra subscriptions (for example, separate adult and senior annual premium) before going online.
   - Legacy subscriptions often need rebuilding. A common example is a one-month rolling subscription that a Plus2 wizard forced to end 365 days later, using the old **instalments** option to split an annual fee. Instalments do not work with DD or RCP on Go, so create new online subscriptions (with their price products). The new subscriptions can also be used by 360 workflows; old ones then die out gradually. Creating a batch is usually quick (under an hour with Gladstone's help). See [Setting Up an RCP Subscription in Plus2](../plus2/recurring-card-payment-set-up-in-plus2.md) for the instalment rules.
   - **GMC**: Go sets the new member's **price level** and **status** from the subscription's settings in GMC `Configuration Manager > Configuration > Gladstone 360 Front of House > Sub Types`. Without them, the membership will not show on Go and no deep link can be generated.

### Mapping memberships

7. **Open the membership**
   - Go to `Configuration > Member Management > Memberships > Membership Types` (or search "Sub" in **Configuration** and select **Membership Types**). It lists every subscription on the database; search by subscription name or ID.
   - Keep a list (for example, highlighted in a spreadsheet) of which have been mapped.

8. **Select a tag from each group**
   - Select a tag in each group (member type, duration, facility, site, time, membership type). If a tag's display name looks wrong while mapping, go by the **tag ID**.
   - Each pathway can only be used by **one** membership. Operator will not save a duplicate path, so remove the tags from old memberships before mapping new ones to the same path.

9. **Check the price product**
   - Check the subscription points at the correct price product. A tag never selects a different price: where prices differ, use a separate subscription and price product. Go cannot reuse one price product across member types.

10. **Set a sale date (if applicable)**
    - Set a future sale date (earliest start date) to pre-sell a membership. See [GladstoneGo: Membership Pre-sales](gladstonego-membership-pre-sales.md).

11. **Save and check**
    - Save and clear the browser cache. The membership appears on Go Join straight away.
    - Check it appears under the intended path on the test Go Join.
    - If saving a mapping keeps failing with an unhelpful error (for example, "[object Object]"), log out and back in. If it persists, download the error details and send them to support.

### Taking a membership off Go

12. **Remove the membership and its tags**
    - Untick **Purchase via web** on the Plus2 subscription and it disappears from Go Join, but its buttons stay (customers see "no memberships available").
    - Also untick its tags on the membership type in Operator.
    - To remove a button completely, delete the tag: tick it, choose **Remove selected**, then **Save**. **Always untick a tag from every membership before deleting it.** Deleting a tag that is still mapped locks that membership's mapping (greyed out) until Gladstone Support fixes it.

## Notes

- Operator reads the **same data as Plus2**, so old activities and memberships appear there too. They cannot be hidden in Operator; tidy them in Plus2.
- If two memberships end up sharing a pathway, Go shows the **highest price** for both.
- The breakdown on the purchase screen (pro-rata today, then the recurring amount) comes from the price product behind the subscription.
- Member type and duration buttons **always show**; they are not filtered by the earlier choice. If a customer picks a combination with no subscription, Go says no memberships are available. Use descriptions to explain eligibility (for example, "Payroll scheme – permanent staff only").
- Facilities tags only show when a membership exists for that path. Niche options (for example, individual club memberships) appear only after the relevant member type and duration are chosen.
- For memberships needing proof of eligibility, an **Eligibility pending** status set in Sub Types (and set as a deny-entry status on your entry points) lets customers buy online but restricts use until staff verify them.
- **Known glitch**: editing one tag occasionally copies its name onto another. The ID is not visible after saving, so check the IDs on a membership type to identify the wrong tag, then correct it (or delete and re-add it).
- **Naming tips**:
  - Use customer-friendly names even if the back-office label is internal. For example, call an RCP duration "Monthly rolling" or "Monthly recurring payment" rather than "RCP".
  - Times descriptions should say when the member **can attend** (for example, "Anytime, 7 days a week" for peak; "Anytime except weekdays before 16:30" for off-peak), not the internal peak pricing window. Use 24-hour times.
  - Keep **member types** few (for example, Public, Staff, Junior/Educational). Put concessions (for example, blue light, NHS) as **secondary** tags under a "Do you qualify for a concession?" option. Put **joint** variants in **Facilities** (for example, Gold, Gold joint).
  - **Seasonal memberships**: create them in advance with a pre-sale/earliest start date. The tag stays visible all year unless removed.
  - Make similar audiences distinct (for example, "Staff" vs "Student" with the organisation name). Placeholder descriptions (for example, "TBC") can be filled in later.
- Memberships that need a restriction (for example, a junior bolt-on only for children of members) cannot be enforced on Go yet. Keep them in-house for now.
- Go Join cannot hide a pathway or run as two separate sites: every mapped membership shows to everyone. If some groups (for example, staff and students with single sign-on accounts) must not self-register, keep their memberships off Go. Duplicate detection matches on email and date of birth, so someone joining with a personal email instead of their organisation email creates a second record.
- Test card payments on the test site are limited to about £49.
- Older guidance gives the membership list path as `Configuration > Memberships > Member Types` or `Configuration > Memberships > Membership Types`; the menu label depends on your version.
- One older guide says this mapping guidance applies only if you are not using Gladstone Connect.
- Every Go purchase or booking (even a free promotional one) needs a customer record with name, phone and email, which is why deep links that cut out steps help.
