GoLearn Reports Overview

Problem

You need to understand how GoLearn reporting works, which reports are available, what each one contains and how its figures are calculated, and where each is covered.

Resolution

1. How to Run Reports

   • When you need to open the reporting window, choose a report and its fields, apply filters, run it and download it as a CSV file.

2. GoLearn Overview Report Metric Definitions

   • When you need to interpret the monthly headline figures: bookings, class members, movements, distinct members, occupancy and attendance.

3. GoLearn Class and Session Report Definitions

   • When you use the Classes, Class Members, Class Sessions or Class Session Members reports.

4. GoLearn Transactions, Revenues and Direct Debit Report Definitions

   • When you reconcile receipts and payments, calculate revenue, or check Direct Debit collections.

5. GoLearn Members, Movements, Waiting List and Badges Report Definitions

   • When you list members, joiners, leavers and other movements, waiting lists or badges awarded.

6. Configure Direct Debit Collections in GoLearn Reports

   • When you need to decide whether the Direct Debit Collections report includes collections no longer tied to a class booking.

7. Generate Contact Trigger Sends Report

   • When you need to see which messages your contact triggers have sent to members.

8. Reporting on Photo Consent in Reports

   • When you need each member's private and public photo consent from the Class Members report.

9. GoLearn School Swimming Reports

   • When you need the School Swimming reports in Activity Portal rather than the GoLearn reporting window.

10. Individual Pupil Progress Report

    • When you need each pupil's progress against every skill in a level, from ActivityPortal. To open it from the Swim England dashboard, see Navigating to the Individual Pupil Progress Reports.

Notes

• Several reports (Class Sessions, Class Session Members, Transactions, Revenues, Movements, Badges and Direct Debit Collections) need a From Date and To Date set in the filters tab before they run.
• Download a report and open it in a data handling program such as Excel or Google Sheets to sort, filter and calculate further.
