Mark Swimmers to Move Up a Level and Manage Assessments
Problem
Swim school administrators and swim teachers need to offer a parent the chance to move their child up a level online, cancel a mark to move, and fix common assessment and progress problems in GoLearn.
Resolution
Offer a movement so a parent can move their child online
Mark the member for movement
- Mark the member for movement.
Send the movement email
- In the Movements section, click the red box with the envelope next to the bookee's name.
- The trigger email asks the parent to log in to HomePortal. They'll see the movements button there and can make the move.

Notes
- Before you start: you need access to
Members > Movementsin GoLearn. The movement email is a contact trigger, so make sure your movement trigger is set up if you want parents emailed. Levels, skills and grades are set up in the scheme portal. - With Limit Assessment Level ticked, members can only be assessed against the level they're on.
- Progress percentages are worked out from the skills and grades in the scheme portal:
- An extra "Unnamed" or duplicate skill or criterion (often with no grading) is counted and stops children reaching 100%. Delete it or mark it as Skipped.
- Hidden skills can't be marked.
- Adding more assessment grades lowers members' percentages. Renaming grades doesn't.
- You don't need a "Not Assessed" grade: it's applied automatically.
- These aren't possible; you can submit a feature enhancement request:
- hiding passed levels in Coach Portal
- switching off ability groups (they have no effect if you don't use them)
- hiding levels a child hasn't passed yet in HomePortal.
- Troubleshooting:
- Teachers can't assess some skills or levels: Limit Assessment Level is ticked on the course. Untick it on the course.
- Progress percentages dropped or never reach 100%: an extra "Unnamed" or duplicate skill or criterion is being counted. Delete it or mark it Skipped in the scheme portal.
- The same session plan shows every week: there's no start date on the session plan. Set a start date in the class setup.
- Parent can't see the movements button: the movement email hasn't been sent, or the member isn't marked to move. Mark them for movement and click the envelope in Movements.
- Common questions:
- How does a parent get the movements button in HomePortal? Mark the child for movement, then send the movement email from the Movements section. The parent then sees the button when they log in.
- Do we need to add a "Not Assessed" grade? No. It's applied automatically.
- Contact Gladstone support if progress percentages still look wrong after you've removed extra or duplicate skills. Include the scheme, level and an example member.
