Introduction to GoLearn v3

Problem

This article introduces the main changes and new features in GoLearn v3 compared to earlier versions. It is intended to help users prepare for migration to the latest version of GoLearn by outlining key new features and providing links to detailed guides for each area.

Resolution

  1. SchemePortal

    • The previous sections "Level Groups," "Levels," and "Grades" have been combined into a new section called “Schemes and Levels.”
    • Schemes group together Levels, Competencies/Skills, and Grades for easier management.
    • Access Schemes and Levels through GoLearn:
      GoLearn → Settings → Courses
    • In the Scheme Portal, you can:
      • View and edit existing schemes (these will match your old Level Groups, Levels, Competencies, and Grades).
      • Create new schemes, duplicate existing ones, or subscribe to National Framework Schemes.
      • Rearrange levels and skills using drag-and-drop.
      • Add new elements or edit wording, competencies, and descriptions displayed to users.

  2. CoachPortal

    • The TeacherPortal has been replaced by CoachPortal, accessed via a new device-friendly link:
      https://yourorganization.coachportal.co.uk
    • Teachers now log in with their own username and password, instead of device credentials.
    • For teachers needing access to others' classes, a personal PIN must be set up.
    • After logging in, users see only their classes. With permission, they can "switch user" to cover other teachers’ classes by entering their own PIN.
    • Before going offline (out of wifi range), use "Import classes for all users" to ensure all classes are available.
    • The green icon (top right) indicates when the device is online; it turns red when offline. Data entered offline will sync automatically once the device reconnects.

  3. Automated Waiting Lists (optional new feature)

    • Automated Waiting Lists must be requested after migration; they are not enabled by default.
    • This feature allows prospective and existing members to join waiting lists for full classes via online joining and HomePortal.
    • Waiting lists are now class-based, rather than level-based.
    • A contact trigger can be set up to automatically notify members on waiting lists when spaces become available, in the following priority order:
      1. Held Spaces: Staff can hold a class space for a period (default: 24 hours). If not booked, the space is offered to the waiting list.
      2. Priority Waiting List: For existing members wanting to move class.
      3. General Waiting List: For new bookings wanting to join full classes.
    • When viewing a class, staff can add or move members between lists as needed.
    • Members can add themselves to waiting lists via online joining (General Waiting List) or HomePortal (Priority Waiting List, if they are existing members).
