How to Move Participants Between Classes in GoLearn
Problem
You need to move participants between class stages in GoLearn, either when they are ready to progress or need to be transferred. This can be done via automated notifications sent to participants or manually by staff.
Resolution
Ensure Participant is Ready to Move
- On the GoLearn class device, make sure the participant has been marked as ready to move. Participants will not be available to move in the GoLearn portal unless they have been flagged as ready.
Open Members and Movements
- Navigate to Members > Movements in GoLearn to see the list of participants currently available to move.
Review Participant Movement Details
- For each participant, review their ID, name, current stage, and the stage they are being moved to.
- Check the icons next to each participant:
- No icon: No email on account.
- Mail icon: Email present, but Home Portal not set up.
- Home icon: Home Portal is set up.
Send Movement Notification (Optional)
- Click the coloured icon to send an email notification:
- Red: Notification not sent.
- Green: Notification sent.
- If the participant/parent has the Home Portal (Home icon), they can complete the move through the portal.
- Click the coloured icon to send an email notification:
Move Participant Manually
- Select the participant’s name, then choose Move.
Review Available Classes and Spaces
- Select a suitable session with enough available spaces by clicking Book.
- Click Continue to complete the move.
Notes
- If a participant cannot be moved, check that they are marked as ready and that there is space in the target class.
- If an email notification is not received, ensure the participant has an email address on their account and that communications are enabled.
