How to Add a Course in GoLearn Using a Subscription

Problem

You need to book a child or adult onto a course in GoLearn when the payment is made using an active subscription, such as Plus2 or Gladstone360. This process ensures that the booking is connected to the subscription and is correctly applied to the member record.

Resolution

  1. Confirm Subscription

    • Ensure the member has an active Plus2 or Gladstone360 subscription applied to their account.
    • The subscription must already be added to the member record.
    • The subscription start date must match the first booking date.
  2. Open GoLearn Booking

    • In GoLearn, go to Book and select the appropriate Level for the class.

Important: Ensure the first date of the subscription matches the first date of the course booking.

  3. Search for the Member

    • Search for the member using their name or member ID from Gladstone360.
    • Select Continue.
  4. Select Subscription Payment Option

    • Choose the option labelled ‘Free’ with the infinite sessions icon. This represents the class included in the subscription.
    • Highlight it so it turns green, then select Continue.
  5. Complete the Booking

    • The member will now be booked onto the class.
  6. Add Member Information

    • Select the child's name or access from the Members option on the left-hand menu and review the details imported from Gladstone360.
    • Use Search for a condition to add any medical conditions.
    • Add any relevant details in Extra notes. These details will be visible to the teacher on their device.
  7. Send Home Portal Invite

    • Select Send Invitation Email to sign up for HomePortal and confirm by selecting OK.
    • This sends an email with a login link to the parent, removing the need for a card number.
