# GoLearn — Scheme Portal Overview

HTML version: [GoLearn — Scheme Portal Overview](https://support.gladstonesoftware.cloud/golearn/golearn-scheme-portal-overview)

## Problem
Users need to manage schemes, levels, skills, and grades for courses in GoLearn. This includes subscribing to National Framework Schemes, creating new schemes, editing scheme details, and assigning schemes to courses and classes.

## Resolution

1. **Accessing the Scheme Portal**
   - Go to [https://yourorganisation.schemeportal.co.uk](https://yourorganisation.schemeportal.co.uk) or navigate within GoLearn:
     `Settings > Courses > Schemes and Levels`.
   - This opens the Scheme Portal, where you can manage levels, skills, and grades.

2. **Managing Schemes**
   - View and edit existing schemes.
   - Create new schemes by clicking **+ Add scheme**.
   - Name your scheme and click **Save**.
   - Edit schemes in a ‘tree’ format, allowing drag-and-drop to rearrange levels and skills.
   - Add new levels and skills/competencies as needed.
   - Edit descriptions and wording for skills/competencies and levels.

3. **Subscribing to a National Framework Scheme**
   - If new to scheme configuration, it is recommended to subscribe to a National Framework Scheme.
   - Subscribing ensures that updates by the National Governing Body are automatically reflected.
   - Users with the relevant permissions can subscribe to unpaid schemes. For paid schemes, a request for access is required.
   - To unsubscribe from a scheme, a request must be submitted to prevent accidental changes.

4. **Assigning Schemes to Courses**
   - After subscribing or creating a scheme, assign it to your course in GoLearn:
     - Go to `Settings > Courses > Courses`.
     - Click **Edit** next to the relevant course.
     - Select the scheme and choose which levels to make available for the course.

5. **Creating Grades for a Scheme**
   - Click **Edit grades** within your scheme.
   - Choose a grading system (Standard grades from 2 up to 12).
   - Click the down arrow on the right to edit gradings.
   - Click on each grade to edit its wording.
   - Return to the scheme with the left arrow.

6. **Setting Up Levels**
   - Click **Edit tree** in your scheme.
   - Add level groups using **+ Add level** (e.g., ‘Junior Swim Stages 1-7’).
   - Provide a name and description, then click **Save**.
   - Add levels under each group as needed.

7. **Adding Skills/Competencies**
   - Click **Edit tree** to reveal options for levels.
   - Add skills for each level using **+ Add skill**.
   - Enter the skill name and assign relevant grading, then click **Save**.
   - Expand the level to view added skills and continue adding more as required.

8. **Configuring Skill Completion Requirements**
   - Click the stage name and select **Edit**.
   - Expand the ‘Node is never complete’ box.
   - Use **Add a skill or level** to individually allocate skills, or **Require all children** to select all skills automatically.
   - Adjust the number in the ‘Needed’ box to specify how many skills must be completed to pass the level.

9. **Assigning/Changing Colours for Levels**
   - In GoLearn: `Settings > Courses > Schemes and Levels`.
   - Select **Levels** from the chosen scheme.
   - Click **Edit** on the required level.
   - Choose a colour and click **Save Level**.

10. **Setting Up Classes**
    - When creating a class, select the relevant course.
    - In the ‘Assessment’ section, choose the relevant level for the class.

## Notes

- **Save Progress:** Frequently click the **Save** button while editing schemes to avoid losing changes.
- **Terminology:** In the scheme portal, ‘Node’ refers to a level, and ‘Children’ to the skills under that level. E.g., “Node is complete when all of its 13 children are complete” means “the level is complete when all 13 skills are complete.”
- **Permissions:** Appropriate user permissions are required to subscribe to, add, or edit schemes.
