GoLearn Overview Report Metric Definitions

Problem

You need to understand what each figure on the GoLearn Overview report means and how it is calculated, so you can interpret your monthly headline numbers correctly.

Resolution

The Overview report is a live, real-time snapshot of your system and displays key headline information and figures.

  1. Check what counts towards the figures

    • The transaction, allocation, move, join or leave must not be voided and must have occurred during the month (between the first and last day).
    • The classes must not be deleted.
    • Planned absence bookings do not count towards these metrics.
  2. Read the Financial Metrics

    MetricDefinition
Total Course BookingsThe sum of all bookings which have occurred in this month. Calculated by finding all the transactions in GoLearn listed as a booking/booking fee.
Total Course Bookings via CentreThe sum of all bookings which have occurred in this month in the centre selected in the filters. Calculated by finding all the transactions in GoLearn listed as a booking/booking fee.
Total Course Bookings via HomePortalThe sum of all bookings which have occurred in this month where the transaction was made via HomePortal, Online Joining or Online Bookings. Calculated by finding all the transactions in GoLearn listed as a booking/booking fee.
  3. Read the Class Member Bookings

    MetricDefinition
Total Class MembersThe total number of members who were on a class that month: all members whose allocation start date is on or before the last day of the month, and whose allocation end date is on or after the last day of the month or is infinite (such as a Direct Debit user).
Total ∞ BookingsThe total number of members who were on an infinite allocation that month (such as Direct Debit users): all members whose allocation start date is on or before the last day of the month and whose allocation end is infinite.
Total Block BookingsEveryone who was on a block booking for that month. Calculated as Total Class Members minus Total ∞ Bookings.
  4. Read the Movement Events

    MetricDefinition
Total JoinsAll join movements which occurred during this month (members who have joined a class). This is not distinct: if a member joined 5 classes they are counted 5 times, and a member who left and rejoined a class is also counted again.
Total LeavesAll leave movements which occurred during this month (members who have left a class). This is not distinct: if a member left 5 classes they are counted 5 times, and a member who left and rejoined a class is also counted again.
Total Moves (To)All movements into another class, counting every time a member has moved into a new class (where the member exists in the new class). The movement date must be between the first and last day of the month, and the class the member left must not be deleted.
Total Moves (From)Members who have moved to another class, counting every time a member has moved into a new class. The movement date must be between the first and last day of the month, and the class the member left must not be deleted.
Total Topups/Re-enrolmentsAll top-up movements which occurred during this month (members who have topped up or re-enrolled into a class). This is not distinct: if a member topped up into the same class 5 times they are counted 5 times.
  5. Read the Members figures

    MetricDefinition
Distinct Members (in a class)All members whose allocation start date is on or before the last day of the month, and whose allocation end date is on or after the last day of the month or is infinite (such as a Direct Debit user). Unlike Total Class Members, this counts distinct rows: a member who left and joined the same class 5 times counts as 1 rather than 5.
Distinct ∞ MembersAll members whose allocation start date is on or before the last day of the month and whose allocation end is infinite (such as a Direct Debit user). Unlike Total ∞ Bookings, this counts distinct rows: a Direct Debit member who left and joined the same class 5 times counts as 1 rather than 5.
Distinct JoinersAll distinct join movements during this month. Distinct on member and class: a member who joins a class, leaves and rejoins it counts as 1 join rather than 2. A member who joined two separate classes counts as 2, and still counts as 2 if they left and rejoined both (Total Joins would count 4).
Distinct LeaversAll distinct leave movements during this month. Distinct on member and class: a member who leaves a class, rejoins and leaves again counts as 1 leave rather than 2. A member who left two separate classes counts as 2, and still counts as 2 if they rejoined and left both again (rather than 4).
Distinct Movers (To)All distinct movements into another class. Distinct on class and member: if a member moved to another class, moved back to the original class, then moved to the new class again, this counts as 1 movement rather than 2.
Distinct Movers (From)All distinct movements from another class. Distinct on class and member: if a member moved from a class, moved back to the original class, then moved to the new class again, this counts as 1 movement rather than 2.
Distinct Topups/Re-enrolmentsAll distinct top-ups and re-enrolments. Distinct on class and member: a member who topped up/re-enrolled more than once counts as 1 movement.
Distinct Members WaitingThe distinct number of members on a waiting list at the centre specified (if one is filtered).
HomePortal MembersThe number of members who have an activated HomePortal account and accepted terms on or before the last day of the month. The percentage is this number divided by the total members on a class, multiplied by 100, giving the % of members on a class who have a HomePortal account.
HomePortal UptakeAll members who have a HomePortal account and accepted terms between the start and end of the month, effectively all members who signed up for an account this month.
  6. Read the Classes figures

    MetricDefinition
Cancelled SessionsThe number of classes which have been cancelled in this month.
Average Occupancy LevelFirst finds the number of spaces in all classes that are not deleted and have non-cancelled sessions in this month. It then divides the Total Class Members for the month by the available spaces and multiplies by 100. This tells you the % of spaces being occupied in your centres.
Average Attendance LevelFinds the number of members marked as present in all classes which have run in the current month (the class must not have been deleted; planned absences are not counted). It divides the number of members marked present by the total number of members to give the % of members attending.
Replacement Sessions GivenThe number of planned absences given in this month, where the session has not been cancelled and the class and planned absence were not deleted.
Payment Plan UsageLists every payment plan in use and shows the number of members booked into a class with each payment plan. Every allocation in the system with that payment plan is counted.
