Making a Price Level Visible in GoBook
Problem
A price level set up in Plus2 (such as INFANT) does not appear as a booking option on GoBook, or you need to choose which price levels customers who aren't logged in can book at, without exposing a members-only rate.
Resolution
Open the price level in Operator
- In Operator, go to
Configuration > Financial > Accounting > Price Levels. - Find the price level and select Manage.
- In Operator, go to
Tick the web bookable option on price levels guests may use
- Tick Web non member bookable, shown in some guidance as Web bookable.
- Ticked price levels show on GoBook to customers who aren't logged in, and they can book at that price.
Leave member-only price levels unticked
- If members get free or cheaper bookings through their price level (rather than a Plus2 price level override), leave those price levels unticked. Members then log in to get their price, and nobody can simply pick the free rate.
- This isn't needed where the discount comes from a Plus2 price level override, because overrides only apply to logged-in holders of the subscription.
Tick the price level on the Plus2 products
- The price level must also be ticked on each class and activity price product, on every resource product, and on any retail products it should buy, or nobody at that level can book.
- Remove subscription restrictions on any products non-members should access (for example inductions).
Give the price level a customer-friendly name (if applicable)
- The price level names shown on GoBook can be changed (for example "Adult pay as you go" or "Non-member price") without renaming them in Plus2, using alternative descriptions set per activity. See GladstoneGo: Setting Up Alternative Price Level Descriptions.
Save and check GoBook
- Select Save.
- Go to GoBook and refresh the page to check the price level is now visible and available to book.
Notes
- You need permission to change Configuration settings in Operator. The price level must already exist in Plus2 before you follow these steps.
- Ticking a non-member price level (for example Community) lets one-off bookers book without a membership, which removes manual account creation. Go creates a customer record at the first booking (name, email, phone and any guest booking form fields) and sends a welcome email to set a password.
- Give a non-member price level a shorter advance booking window (for example 1 = same day) to fill last-minute space while members keep, say, seven days. See Setting Advance Booking Windows in Plus2.
- Avoid guest booking where members (for example staff and students) might book as guests by mistake and pay the higher price.
- The price level still does not appear: check the option is ticked and saved, that the price level is ticked on the Plus2 price and resource products, and refresh the GoBook page.
- Logged-out customers are booking the members' free rate: untick the web bookable option on that price level and use a Plus2 price level override instead.
