Configuring Booking Release Time for Classes and Activities in Go Book
Problem
You want a day's classes and activities to open for booking on Go Book at a set time of day, instead of the default class start time, or to change how far ahead sessions are visible.
Resolution
Set the advance booking period in Plus2
- In Plus2, set the advance booking period for each activity and class. This defines how many days in advance a booking becomes available. See Setting Advance Booking Windows in Plus2, where 8 = seven days ahead.
- By default a session opens for booking on Go Book exactly that many days before its start time. For example, a 6pm class with a 3-day advance period is released at 6pm three days before, and a 07:00 class with a 7-day period opens at 07:00 seven days earlier.
Set the booking release offset in the GMC
- In the Gladstone360 GMC, go to
Configuration Manager > Configuration > Member Facing Global. - On the Configuration tab, open the Class Configuration dropdown and set the class release offset (Midnight Offset (in hours)) to when you want bookings released, for example 8am, 08:45, or 22:00 the night before.
- For several sites with different booking rules, use the All Sites option to set a separate offset for each site.
- The offset applies in 360 automatically.
- In the Gladstone360 GMC, go to
Enable the booking release time in Operator
- In Operator, go to
Configuration > Modules > Configure. - Search for Enable Booking Release Time and set it to
Trueto switch the feature on for Go Book (Falseswitches it off).
- In Operator, go to
Change the look-ahead period (if applicable)
- In the same
Configuration > Modules > Configurescreen, type Book Look in the search box. - Increase or decrease the number of days sessions are visible on Go Book (default 14), then save.
- In the same
Notes
- The look-ahead period only changes how far ahead sessions are visible on Go Book. Customers still can't book beyond each activity's or reservation's own advance booking restriction in Plus2, but it shows future weeks are running, and Go Book shows when a visible session opens for booking.
- Advance booking windows can differ for members and non-members (for example 14 vs 7 days).
- The release offset is documented for classes. If activities, older versions or a specific site do not follow the expected release time, confirm the applicable setting and version with Gladstone Support before changing customer communications.
- Tell customers before changing the release time.
- Classes still release at the default time: check Enable Booking Release Time is
Truein Operator and the correct offset is set in the GMC. - Different sites need different release times: use the All Sites configuration in the GMC to set an offset per site.
- A session is visible but not bookable: check the release offset, the Plus2 advance booking restriction and the Operator setting.
- Prerequisites: you need permission to change configuration settings in Plus2, the GMC and Operator.
