## Problem

Users need guidance on how to access, navigate, and make use of Gladstone Reporting to analyse business data, configure dashboards, export data, and set up alerts using the platform's features.

## Resolution

1. **Accessing Gladstone Reporting**
    - Go to [https://gladstone.sisense.com](https://gladstone.sisense.com) in your web browser.
    - Sign in with your cloud username (usually `YourName@gladstone-leisurecloud.net`) and your cloud account password.
    - For mobile access, download the Sisense Mobile BI app from the Apple App Store or Google Play Store.
        - When prompted, use the same cloud username, password, and server address: `https://gladstone.sisense.com`
    - You can also subscribe to dashboards to receive them via email (see step 6 for configuration).

2. **Navigating the Main Screen**
    - Upon login, you'll see the Toolbar at the top and Bookmarks on the left.
    - **Toolbar:** Provides access to Dashboards and Pulse notifications.
    - **Bookmarks:** Expand "Live Data Model Dashboards" to access available dashboards such as Attendance, Bookings, Contacts, Configuration, Prospects, Sales, and Subscriptions.
    - Dashboards serve as navigation panels for easy movement between data sections.

3. **Using Dashboards and Widgets**
    - Each dashboard contains multiple widgets that summarise data in charts, tables, and other formats.
    - Access to specific dashboards and widgets depends on your user permissions.
    - Widgets can include detailed reports, visual representations (graphs, charts), and numerical summaries.

4. **Drilling Down into Data**
    - To see underlying data:
        - For numerical indicator widgets, left-click the value (if drill down is available).
        - For graphical widgets, right-click a chart element and select "Jump to _drill" (if available).
    - Table data is paginated, usually showing 25 records per page. Scroll through pages to view more data.

5. **Filtering Data**
    - Use filters on the right side of each dashboard to control the data shown.
    - Filters can be applied at the dashboard or widget level:
        - Dashboard Filters are remembered until changed.
        - Widget Filters are temporary and reset after each use.
        - Formula Filters are set by administrators and apply to summary calculations.
    - To reset all filters to default, click the circular arrow ("Restore my default filters") at the top right of the Filters pane.
    - **Starred Filters:** Save frequently used filter selections by creating a Starred Filter. Name it for easy future selection. To remove, select and click the Starred Filter button again.

6. **Exporting Data**
    - To export data, hover your cursor over the data and click the Options button (three horizontal dots) in the upper right.
    - Export formats include:
        - CSV (unlimited rows, fastest)
        - PDF
        - Image (for charts/graphs)
        - Excel (for table widgets with merged rows; limited to 2 million rows)
            - "Repeat rows" repeats values in each cell.
            - "Merge rows" combines cells with repeating values.
    - Exported files are not connected live and will not auto-update.

7. **Dashboard Subscriptions (Email Reporting)**
    - To receive dashboards by email:
        - Click the envelope icon ("Email Report Settings") in the top right of the dashboard.
        - Toggle Subscription On.
        - Choose format: "Embedded in Email" or "PDF Attachment."
        - For PDF, you can edit format options.
        - Set frequency: Daily, Weekly, or Monthly.
        - Emails go to your address tied to your Cloud Username.
        - Drill-down features are not accessible by email—use the website or app for full interactivity.

8. **Pulse Notifications**
    - Use Pulse notifications to monitor key KPIs.
    - To create a Pulse:
        - For indicator widgets, click the Options button and select "Add to Pulse."
        - For chart widgets, right-click the relevant element and select "Add to Pulse."
        - Define alert conditions:
            - **Threshold:** Set a value with a condition (e.g. greater than X).
            - **Automatic:** Receive alerts for anomalies detected by the system.
            - **Always:** Get regular notifications regardless of data change.
        - Set the alert frequency (minutes, hours, or days).
    - Filters applied when creating a Pulse will be included in the alert conditions.

9. **Understanding Dashboard Overviews**
    - **Attendance Dashboard:** Analyse site entry, usage trends, demographics, and hourly/period comparisons.
    - **Bookings Dashboard:** Assess attended/non-attended bookings, resource utilisation, group exercise stats, and booking methods.
    - **Configuration Dashboard:** Review setup of products, departments, cost centres, usage values, and pricing structures.
    - **Contacts Dashboard:** View demographic info, contact engagement, data completeness, and marketing consents.
    - **Prospecting Dashboard:** Monitor leads and prospects, track interactions and outcomes, and gauge staff activity.
    - **Sales Dashboard:** Track sales metrics, manage debts, review payments, and assess promotional code usage.
    - **Subscriptions Dashboard:** Evaluate subscription types, yields, churn, engagement, demographic trends, and secondary spend.

## Notes

- Gladstone Reporting updates its data daily via an overnight process from a secure data warehouse; reports are not real-time with your main database.
- The "live" label on dashboards refers to live updates from the data warehouse, not the transactional system.
- A reliable, fast internet connection will improve dashboard loading times and performance.
- Exporting large data sets to Excel may take longer due to formatting; for fastest results with unlimited rows, use CSV.
- Filter settings may persist between sessions until changed; use the "Restore my default filters" option as needed.
- Widget and dashboard availability may vary based on your user permissions.
- For detailed use cases of dashboard data, see the "Practical Application: How to Use the Data" sections within each dashboard description above.
