Setting Up Products for the Finance Extract (Departments and Promo Items)
Problem
Sales from the Gladstone 360 till land on the wrong budget lines in the finance extract, or you need complimentary and promotional items to be accounted for against the right department and cost centre.
Resolution
Find products on a catch-all department
- Every product must be assigned to the right department and cost centre. Products left on a catch-all department (for example "Miscellaneous") mess up the finance extract.
- Use a Gladstone Reporting (Sisense) sales-by-department report to find them.
Fix the department and cost centre in Plus2
- Correct each product in Plus2, even for products you no longer use.
Create promo products for complimentary and promotional items (if applicable)
- As an alternative to extra payment methods, create promo/discount products in Plus2 assigned to the relevant department and cost centre (for example a "Development promo" product).
Sell the promo product with the item at the till
- At the till, add the activity plus the negative-value promo product. The discount then lands on the right budget line in the finance extract.
Notes
- The finance extract may need updating to show promo products.
- Financial extracts are bespoke per client, with configurable fields. A missing field (for example VAT) needs the extract rewritten by the Gladstone data team.
- The extract reflects Plus2 data only.
- New payment methods must be set up by Gladstone Support so they map to the correct budget code. See Taking Payments and Discounts at the Gladstone360 Till.
