Configuring Subscription Types (Sub Types) in the GMC
Problem
A membership doesn't show on Go Join, or isn't set up correctly when sold in 360. Every subscription needs its price level, status and contract settings set in the GMC Sub Types.
Resolution
Open Sub Types
- In the GMC (Gladstone Management Console), go to
Configuration Manager > Configurationand choose Gladstone360 Front of House in Please Select Product. - Go to Sub Types (also shown as the Subscription Types tab).
- In the GMC (Gladstone Management Console), go to
Find the subscription
- Find the subscription. You can search by its code, including any prefix.
- Click the ellipsis (…) or edit icon on the far right of the subscription.
Set the fields
Field Effect Price Level The price level given to the customer when they buy this subscription. It must match the one price level ticked on the subscription's price product in Plus2. Set it for every subscription sold in 360, not only those sold on Go Status The status given on purchase, for example Current Member. Pick one approach and use it for every online subscription: either one generic status, or one status per membership tier Contract Term Sets the membership's earliest end date at purchase Cancellation Notice Period Sets the membership's notice period at purchase. If it's blank, the global value in Shared Global > Membership Settings > Cancellation notice periodis usedConcession tick and message Lets you enter a message such as "Staff ID required on first visit". Despite the label Message displayed to member, it's a reception message for staff. The customer doesn't see it Discounts Automatic membership discounts. See Configuring Membership Discounts in the GMC Set up an eligibility check (if applicable)
- For memberships that need proof (concession, corporate, staff), set the Sub Type Status to a Pending eligibility status:
- Create the status in Plus2 (
Configuration > Membership > Statuses) and give it a bright colour. You can rename an unused status instead of creating a new one. - Set it as the Status on the Sub Type here.
- Add it as a Deny entry status on your entry point profiles. See Access Control – Entry Points and Entry Point Profiles.
- When staff see proof, a user with Edit status permission changes the status in 360 Personal details.
- Create the status in Plus2 (
- Don't use Pending eligibility where it would block legitimate online booking, for example members who only book classes.
- For memberships that need proof (concession, corporate, staff), set the Sub Type Status to a Pending eligibility status:
Save
- Save, then continue in Plus2 (subscription, price product, Purchase via web, site tick) and in Operator (tag mapping). See Configuring Plus2: Overview and Cross-Product Impact and Setting Up Go Join Tag Groups and Mapping Memberships.
Notes
- Gladstone Go: Go uses the Sub Type price level and status to set up someone who joins online. If either is missing, the subscription won't show on Go Join, and Operator can't generate a deep link for it. A membership bought with a Pending eligibility status can still be bought online, but it can't be used until staff change the status.
- Plus2: the Sub Type price level must match the one price level ticked on the Plus2 price product and on any joining or admin fee product. If the price product has more than one price level ticked, Go shows "Unable to add member" at the end of joining.
- 360: workflows set to Use subscription type configuration apply the Sub Type status and price level. When several memberships are sold together, the higher-priority membership's values are used. The contract term and notice period decide the earliest cancellation date offered in the Cancel workflow. See Creating a Workflow in Gladstone360 and Building a Gladstone 360 Cancel Membership Workflow.
- The Subscription Types and Subscription Type Groups tabs hold shared configuration used by several applications, not only 360.
