# Adding a New Contact in Gladstone 360

HTML version: [Adding a New Contact in Gladstone 360](https://support.gladstonesoftware.cloud/gladstone360/adding-a-new-contact-in-gladstone-360)

## Problem
Front-of-house staff need to create a new customer record in Gladstone 360 with the right price level, contact details and preferences, ready for bookings, sales or a membership.

## Resolution

1. **Start the Add contact workflow**
   - From any record or page (it doesn't have to be the non-member record), including Check-in, Contacts and the till, click **Add contact** and choose the workflow (for example Non-member adult).
   - The steps depend on how the workflow is built; mandatory fields have a red star. A typical five-step workflow follows.

2. **Personal details**
   - First name then last name (the opposite order to Plus2), gender (drives the title list, alongside general and "prefer not to say" options), title and date of birth. Company is optional.
   - Status (Current), price level (Non-member) and home site (the site you're logged in at) default and can't be changed here.

3. **Contact details**
   - An email is mandatory by default. It is saved as **Home** and main, because it becomes the Go login. 360 won't accept an email already used by another record.
   - Add a mobile number (UK format checked by default; GB Group can also verify the number is real).

4. **Photo**
   - The customer stands in the webcam frame and staff click **Freeze** (the freeze frame takes about 5 seconds).

5. **Preferences**
   - Contact channels and privacy-policy agreement.

6. **User fields (additional information)**
   - For example ethnicity, disability, medical conditions, vehicle registrations, emergency contact name and number. These can be tidied and made mandatory.

7. **Save**
   - Saving opens the new record, ready for bookings and sales, or to buy a membership in 360 or on Go Join.

## Notes

- An **address** step with GB Group enabled becomes a postcode lookup.
- Only the last name is mandatory by default; first name, phone and email can be made mandatory.
- The date of birth is checked against the workflow's price level (a junior workflow won't accept an adult date of birth; a junior record won't be offered adult or senior products).
- A card ID can be added automatically when the contact is created, or switched off so staff issue cards from a stock at the desk (usually off unless a card printer is used).
- Consider a **Non-member** status (alongside Current) so records without a membership can be reported separately.
- Go logins use email and password; PINs aren't needed.
- Set phone-number user fields as **free text**, not number fields, or the leading 0 is dropped.
- Other documented examples use a 7-field flow (name, title/gender, date of birth, home site, address, phone, email). Both are examples: the steps come from the site's workflow configuration.
